The Organisational Review bridge

The Organisational Review bridge

The Organisational Review service helps your clients build a functional Organisational Chart, defining departments, functions, roles and responsibilities. This means business owners can be more efficient, establish key resourcing gaps, and develop their team to create capacity to free up their time to work  on their business rather than in it.

This is an extremely powerful Business Advisory service providing immense value to clients. Developing your client's organisational chart will provide them with a rock solid 10 hats structure, ensuring the right people are responsible for the right areas in the business.

To access the Organisational Review bridge, go to Navigation panel > Bridges > Organisational Review bridge. To leverage this service and deliver it to multiple clients, go to Navigation panel > Bridges > 10 Hats Workshop Tri-Series.

Important info
All businesses have the same 10 departments; this service is highly applicable to both large and small businesses.

Understanding the Organisational Review process

To successfully scale, businesses need a clear organisational structure. The  Organisational Review service enables you to create a visual Organisation Chart defining the structure of the business, and the roles and responsibilities of each team member. This allows the client to assess resourcing gaps as well as delegation and promotion opportunities.
  1. The Process Guide outlines best practice use of the content in the Organisational Review bridge; click the Download Process Guide button in the top right-hand corner to view this guide

Note
Ensure you review the Process Guide prior to using the content in the bridge.
Important info
We strongly recommend you complete the Organisational Review bridge on your own firm to get your structure right. Navigate to Navigation panel > Leadership > Modern Firm Organisational Structures to access Organisation Charts designed specifically for accounting firms. Follow the process in the Organisational Review bridge to develop your firm's Organisation Chart.

Marketing the Organisational Review service

There are many ways to actively market the Organisational Review service, including:
  1. Discussing your Organisational Review service as part of a Complimentary Client Review or an Annual Accounts Meeting.
  2. Sending out relevant educational marketing content to your database to subtly position the value of an Organisational Review.
    1. Go to Navigation panel > Marketing  The Gap + BOMA > The Gap + BOMA Content Library Catalogue to check out our education marketing content ready for you to send via BOMA
  3. Hosting one of our Gap Webinars or Seminars to generate interest in your Organisational Review service.

Important info
Many small business owners are very time poor and will benefit hugely from this service. They may also see the value in outsourcing departments they are neglecting, most likely finance, marketing or HR. If cost is an issue, position the 10 Hats Workshop as an alternative.

The Organisational Review Proposals

There are two proposals in the Organisational Review bridge; one for the standalone service and one for a combined service offering of Business Planning, Organisational Review and Coaching. Only send a proposal for services you have gained conceptual agreement for.
  1. Consider the client's unique situation and use the checkboxes to select the objectives, measures of success and value to the client; add bespoke objectives, measures of success and points of value to reflect the client's individual needs
  2. If your client does not accept within seven days, call them to follow up
For more information, see our Using proposals article.

Tip
Carefully read through the objectives,  measures of success and values to better understand the types of problems this service will help solve for your clients.

Delivering the Organisational Review session

Client outcomes

By attending an Organisational Review session, clients will:
  1. Understand the key functions within their business and who should be responsible for them
  2. Increase efficiency and productivity in their business model
  3. Develop a structure that will support the future plans for their business
  4. Gain clarity for their team around roles, responsibilities and career development opportunities
  5. Increase team engagement and satisfaction by clarifying expectations
  6. Free up time to concentrate on revenue-generating activities

Service duration

The session takes around 8 hours depending on the size of your client's business. We recommend delivering the service over two half days, allowing your client to work on the key responsibilities and tasks for all of the roles between sessions.
  1. If running the session remotely (e.g. as part of a Strategic Planning retreat), it may appropriate to deliver the session in one full day.  If so, consider allowing time after the session for the client to complete the key responsibilities and tasks for all roles.
  2. If running virtually, we recommend breaking the process down into multiple sessions no longer than two hours

The service

You wi ll facilitate a structured Organisational Review to develop the client's Organisation Chart structure and clarify the specific responsibilities of each role in your business.  During this process, you will cover:
  1. The purpose of an Organisation Chart
  2. Five fundamentals for developing an Organisation Chart
  3. The foundations of your Organisation Chart
Prior to the session, you will provide all attendees with pre-work to complete; ensuring that any issues that need to be discussed are identified and you can prepare accordingly.

Important info
We recommend enforcing a 'no pre-work, no meeting' policy. Politely discuss the benefit of pre-work and reschedule the meeting so it does not become one of discovery.

You will use The Gap's Organisation Chart Template to create a draft Organisation Chart which your client will refine and complete. You will then schedule a call to complete the Organisation Chart and formulate an implementation plan.

Click here for more information about common content found in the Gap bridges and how they relate to each step in the Organisational Review process. See the Organisational Review Process Guide for detailed information about the Organisational Review content.

Key content in the Delivery folder includes:
  1. The Organisational Review Guide: an auto-branded guide providing an overview of developing a 10 Hats Organisation Chart which can be sent to clients via the portal.
  2. The Organisational Chart Template: an Excel template set up with the 10 departments and clear instructions on how to create the Organisation Chart.

Tip
The 10 Departments in your Business Mindset Card is a great visual representation of the 10 hats structure you can provide to clients. Go to Navigation panel > Mindset Tools > Systemisation folder to find it.
