Setting up a time and cost based proposal

The proposal documents in The Gap Portal are not designed to handle time and cost based services as we believe that services should be value-based, not time-based.
However, for any exceptions, portal administrators can follow the steps below to create a time and cost based service using the Proposal for Additional  Services.

Attention
You must have administrator rights to access the portal areas referenced in this article.


To create a Time and Cost based proposal we recommend setting up a new service within a new or existing Service Category that you can customise to suit time and cost based needs.
Note
Please note whichever category you add the time and cost service to will need line pricing enabled for all services within the same category.

Create a new service in a new service category

  1. Navigate to Main menu > Services & Pricing > Onboarding Services tab.
  2. Scroll down to the bottom of the page and click + Add Service Category. An Add Service Category popover will show.
  3. Fill in the Category Name, e.g. 'Other services'.
  4. Toggle on the Service Description  and Line Pricing 
    1. Green icons  mean the feature is toggled on
    2. Grey icons  mean the feature is toggled off
  5. Click Save to keep the changes. A new service category will appear in your Onboarding Services tab.
  6. Go to the service category and click the + Add service button below the category name. A service builder page will load.
  7. Click the Service Name dropdown and select 'Create new...'
  8. Fill in the Service Name and Service Description input fields as desired.
    1. We recommend amending the description to suit, e.g. explain that the service will be billed on a time and cost basis and consider including what your hourly rate is
  9. Fill in the Estimated Price field and/or Price Range fields under the Annual Pricing section as desired.
    1. We recommend using the Estimated Price field if you would like your proposal to include the default estimated price disclaimer text 'If during the course of work any unanticipated issues arise that increase our internal costs, we will contact you prior to continuing the work.'
    2. Consider amending the description field in step 8 if you choose to use a price range, e.g. you could explain that the cost is a range only and will be calculated in full on completion of the service
  10. Click Save to keep the changes. The new service will appear under your category.

Create a new service within an existing service category

Repeat steps 1 and 6-10 above.
Ensure you have  the  Service Description  and  Line Pricing  toggled on for your chosen category.

Create a proposal using the new service

The new service created above will now be available in the  Proposal and Fee Summary  section of the  Services Proposals  and  Proposal for Additional Services . We recommend you use the Proposal for Additional Services as it has a blank area for you to add details of the service and how you'll price it.

To use the new service:
  1. Navigate to Main menu >  > Bridges > Proactive Onboarding (PO) > Selling or Complimentary Client Review (CCR) > Re-engage and select Proposal for Additional Services, or search Proposal for Additional Services using the Search  feature.
  2. Select your client, edit the email, then add a detailed description of the service, delivery process and pricing method in the blank text area beneath the logo.
  3. In the Proposal and Fee Summary section locate the service category you added your new Time and Cost based service to above, then toggle on your new service.
  4. To the left of the service's pricing field, click to change the dropdown selection from Agreed to either Estimated or Range, depending on what you chose in step 9 above.
    1. If you can't see the pricing field, click  to toggle line pricing on 
    2. The Totals will adjust to suit your chosen pricing type
  5. You can further customise the Service NameService Description and Pricing for the service if needed.
    1. Any customisations will only save against the open proposal document
    2. To make a permanent change to the service, a portal administrator will need to edit it under the Main menu >  > Services & Pricing > Onboarding Services tab
  6. Review the remainder of the proposal.
  7. Click Complete to email the proposal to the client or download it to PDF.

Important info
We recommend always including an indicative price on proposal documents to increase the chance of proposal acceptance.
