Managing drafted documents
To start, navigate to the
Main menu >
>
Drafts tab.
- Documents in this tab are drafts created from any editable form when a user clicks the Save as draft button or when the portal autosaves a document
- By default, Drafts expire 6 months after the last edit date
- Drafted documents without a client selected are saved to the Drafts tab with the Client Name 'No Client Selected'
Finding a Draft
- If the Draft was created by another user, click the Document Owner dropdown in the top right-hand corner and change from My Documents to All Documents
- Use the Search feature fo find a Draft, using the document name or client name as keywords
- Alternatively, sort the drafts in Ascending or Descending order by clicking on the column headers and/or chevron arrows once
- The header of the column the Drafts are sorted by will appear red with a chevron arrow next to it
- Drafts are sorted by Date from most recent to oldest by default
Note
Updates to
Firm Settings do not pull through to drafted documents.
Editing a Draft
- Navigate to the Main menu > > Drafts tab.
- Change the Document Owner dropdown to All Documents if the Draft was created or last saved by another user.
- Check the Date column to ensure the document is not currently open (i.e. that it was last saved more than 30 seconds ago).
- Click the Document Name to open the Draft.
- Edit the document as required.
- Click Save as Draft to save to the Drafts tab or Complete to save to the Completed tab.
Autosave feature
The portal automatically saves an editable form to the Drafts tab every 30 seconds
if an edit is detected, as long as there is an
active internet connection.
- If the form requires client selection, the autosave feature will start saving every 30 seconds after a client has been selected and an edit has been detected
- Exercise caution: while this feature is designed to prevent loss of data in unexpected circumstances, if two users attempt to edit the same draft, both drafts will autosave
Warning!
To avoid potential data loss due to the autosave function, ensure you only have one document draft open on one device at a time.
It is not possible to retrieve previous versions of an overwritten draft. Check the Date column in the Drafts tab; if the last edit is within 30 seconds, the document is open and being autosaved.
Deleting a Draft
Warning!
Deleted and expired Drafts cannot be restored.
